If you record aircraft maintenance experience in a CAP 741 logbook, you will encounter tasks described as operational checks or functional checks. The terms may appear interchangeable, but they can describe different levels of testing. The UK CAA CAP 741 guidance provides important context for maintaining accurate experience records.
The distinction matters because a vague entry makes it difficult for a licence assessor, quality auditor, or future engineer to establish what was done. An incorrectly recorded check may also fail to demonstrate that the aircraft or component was tested in accordance with approved maintenance data.

What is an operational check?
An operational check confirms that a system, component, or function operates correctly under normal operating conditions.
It is usually a relatively straightforward check. The system is operated and the engineer verifies that the expected response occurs. The check may involve switches, indications, lights, controls, warnings, or general system operation.
Examples include:
- Checking that landing lights illuminate correctly
- Operating a hydraulic pump and confirming that pressure builds as expected
- Checking that a fuel quantity indication responds correctly
- Operating the flaps and confirming that the cockpit indication agrees with flap position
- Checking that an electrically operated door opens and closes correctly
- Confirming that a warning light extinguishes after system activation
- Operating an avionics display and confirming that the expected information appears
An operational check does not necessarily require detailed measurements or specialised test equipment. However, the applicable maintenance data takes priority over general assumptions. What is a functional check?
A functional check is a more detailed test that confirms that a system or component performs its intended function throughout the conditions and limits specified by approved maintenance data.
A functional check may involve:
- Specific test equipment
- Measurements or recorded values
- Simulated operating conditions
- A defined sequence of actions
- System interconnections
- Fault or warning indications
- Comparison with specified tolerances
- Testing after installation, adjustment, repair, or disturbance
Examples include:
- Testing an autopilot through its specified modes
- Performing a flight control rigging or operational function test
- Checking a pressurisation system against specified pressure limits
- Testing an engine indication system using approved test equipment
- Carrying out a pitot-static system functional test
- Verifying a landing gear indication and warning system through its full sequence

Operational check versus functional check

Do not label a task a functional check simply because it involved operating the system. The wording should match the procedure actually completed.
Why the distinction matters in a maintenance logbook
A maintenance logbook is evidence of practical experience and competence, not merely a diary of tasks.
When a licence application or audit is reviewed, the assessor may need to establish:
- What aircraft or component was worked on
- Which system or ATA chapter was involved
- What maintenance activity was completed
- Which approved data was used
- Whether the work was inspected or tested

An entry stating only “functional check carried out” provides little evidence. It does not explain what function was tested or whether the task involved troubleshooting, adjustment, installation, testing, or return to service.

Some functional checks require the aircraft to be placed in a specific configuration. Record that the aircraft was returned to its required condition.

These examples do not replace the manufacturer’s terminology. Use the wording and acceptance criteria specified in the applicable approved data.
Recording checks as part of safety management
Operational and functional checks form part of the wider maintenance safety picture. A failed check, repeated defect, unusual indication, or unexpected test result may identify a hazard or emerging reliability issue.
Part 145 organisations must maintain a documented and functioning Safety Management System (SMS), including hazard identification, a safety risk register, Safety Performance Indicators (SPIs), and a management review cycle. Closing a work order with a generic statement such as “test satisfactory” may create a traceability gap. The record should identify the task, procedure, result, and person responsible.
A single source of information for planning, labour, materials, defects, checks, and release status can reduce duplicated records and simplify audits. However, software does not correct poor entries. - Included the correct date, signature, and authorisation
- Matched the entry to the organisation’s work order and maintenance records
- Reported the result through the SMS where required
The difference between an operational check and a functional check is not always defined by the words alone. It depends on the approved procedure, the depth of testing, and the acceptance criteria.
The safest approach is to follow the maintenance data, describe the work precisely, and record enough information for another qualified person to understand exactly what was tested and what result was obtained. That is what turns a basic logbook note into reliable maintenance evidence.
